Plain-English explanation of what we collect, why we collect it, who we share it with, and how long we keep it. Written under UK GDPR (the Data Protection Act 2018 incorporating the EU GDPR retained in UK law post-Brexit).
Who we are
Kings Heathrow Taxi is a owner-operator licensed private hire vehicle (PHV) service based in Aylesbury, Buckinghamshire. We operate fixed-price airport transfers exclusively from London Heathrow Airport.

What data we collect
We collect three types of data:
- Booking data — name, phone number, email address, pickup terminal, destination address, date/time, passenger count, flight number, and any notes you give us.
- Communication data — your messages to us (email, SMS, WhatsApp) and our replies.
- Site analytics — anonymous traffic data (pages visited, device type, country) via Google Analytics 4. No personal identification.
Why we collect it
- To fulfil your booking — name + phone + email to confirm, terminal + flight number to track your arrival, destination address to plan the route. Legal basis: contract.
- To improve service — anonymous analytics to understand which routes and pages are most useful. Legal basis: legitimate interest.
- To meet legal obligations — UK private hire regulations require booking records to be retained. Legal basis: legal obligation.
Who we share it with
We share data with a small number of essential service providers, all under written data processing agreements:
- Web3Forms — processes the booking form submission and emails it to us. Web3Forms privacy policy.
- Cloudflare — hosts the website and email forwarding. Cloudflare privacy policy.
- Google Maps Platform — calculates route data and addresses. Google privacy policy.
- Google Analytics 4 — anonymous traffic analytics. Google privacy policy.
- TruConversion — anonymous heatmap and session recording analytics to understand how the site is used and improve the booking experience. Recordings have personal data masked by default. TruConversion privacy policy.
We do not share your data with marketing companies, data brokers, or advertising networks. We do not sell your data to anyone.
How long we keep it
- Active booking data — kept until the journey is complete + 12 months for receipt / dispute purposes.
- Communication history — kept for 24 months after the last contact.
- Financial records (for HMRC) — kept for 7 years as required by UK tax law.
- Site analytics — kept for 26 months in anonymised form; no individual identification.
Your rights under UK GDPR
You have the right to:
